1. About this policy

This Privacy Policy explains how Waymaker Pty Ltd (ABN 83 640 132 592) ("Waymaker", "we", "us", "our") collects, uses, stores and shares your personal information when you use Compass, our financial planning dashboard.

We handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

By using Compass, you agree to the practices described here. If you don't agree, please don't use the service.

2. What we collect

Compass personal and financial information. This is intentional — the platform is designed to give you and your coach a full picture of your finances. The main categories are:

Identity and contact information

  • Your name, email address, phone number, date of birth

  • Login credentials and authentication tokens

Financial information

  • Income, bills, spending, investing, superannuation and cash flow details

  • Assets and liabilities (including property, loans and accounts)

  • Home loan scenarios, mortgage details and broker-related information

  • Goals, strategies, and long-term financial plans

  • Tax-related information (deductions, super contributions, HECS/HELP) (We do NOT collect TFNs)

Coaching and personal context

  • Your core values, habits, mindset notes and coaching session history

  • Activity and audit logs showing changes made to your data

  • Notifications you've read or received

Documents

  • Files you upload to Compass

Technical and usage information

  • IP address, browser, device type and operating system

  • Pages visited, features used, time spent in the app

  • Cookies and session tokens

Information from third parties

  • Your tier and engagement status

  • Information from our CRM

  • Information shared by your coach or adviser during sessions

We don't knowingly collect information from anyone under 18.

3. How we collect it

Most information comes directly from you — when you sign up, update your profile, enter financial data, upload files, or message us. Some comes from:

  • HubSpot.com â€” when you're assigned a broker or engage our Coaching

  • Automated logging â€” browser and usage information is captured as you use the app

4. Why we collect it

We use your information to:

  • Provide and improve Compass and its features

  • Calculate cash flow, tax, super and mortgage estimates

  • Let your Waymaker coach support you with accurate, current information

  • Share relevant information with specialist partners when you explicitly grant access 

  • Send notifications, reminders and updates about your account or coaching

  • Maintain security, prevent fraud, and comply with legal obligations

We do not sell your personal information to anyone. Ever.

5. Who we share it with

This is the most important section. Compass is built around the idea that your coach and trusted specialists work together — which means your data can be shared, but always under your control.

5a. Waymaker staff

Your assigned Waymaker coach, broker and relevant staff members can access your data to support you. Access is controlled by role and logged.

5b. Specialist partners (only with your consent)

Compass connects you to trusted specialists — accountants, advisers, buyers agents, legal and coaching partners. We may share your information with a specialist only when you explicitly grant them access in the Experts section of Compass. You can revoke access at any time.

Current specialist partners include, but not limited to:

  • RightTrac Planning â€” financial advice, insurance, superannuation

  • Copius Property â€” buyers agency

  • Crown Noble â€” business tax and accounting

  • Leader Guide â€” small business coaching

When you grant access, the specialist becomes responsible for their own handling of your data under their own privacy policy.

5c. Service providers (always, to run the platform)

We use trusted service providers to operate Compass. They can access your data only to the extent needed to perform their service:

5d. When required by law

We may disclose your information if required by law, court order, or to respond to a valid request from a regulator or law-enforcement agency.

6. Overseas disclosure

Some of our service providers store or process data outside Australia, e.g. Hubspot, which store some data in United States.

We take reasonable steps to ensure overseas recipients handle your data consistently with the APPs, but by using Compass you consent to your information being processed in those jurisdictions.

7. Cookies and analytics

Compass uses cookies and similar technologies to:

  • Keep you logged in

  • Remember your preferences

  • Understand how the app is used so we can improve it

You can disable cookies in your browser, but parts of Compass may not work correctly without them.

8. Your rights

You have the right to:

  • Access your personal information

  • Correct information that's inaccurate or out of date (most of this you can do yourself in Compass)

  • Request to delete your account and personal data (subject to any legal retention obligations)

  • Withdraw consent for specialists you've granted access to

  • Complain to us or to the OAIC if you think we've mishandled your information

To exercise any of these rights, email support@waymakerfinance.com.au. We'll respond within 14 days.

10. How long we keep your information

We retain your information:

  • While you have an active Compass account and engagement with Waymaker

  • For up to 7 years after your account closes, to meet financial-services and tax record-keeping obligations

  • Longer if required by law or to resolve a legal dispute

After that period, we securely delete or de-identify the data.

11. Complaints

If you have a privacy complaint, please contact us first at support[@]waymakerfinance.com.au so we can resolve it. We'll respond within 30 days.

12. Changes to this policy

We may update this Privacy Policy from time to time. Significant changes will be communicated through Compass or by email. The "Last updated" date at the top shows when the policy was last revised.

13. Governing law

This Privacy Policy is governed by the laws of Queensland, Australia. Substantive privacy obligations are set by the Privacy Act 1988 (Cth).
